Tasks & subtasks

Every task has a title, description, owner, priority, due date, status, and estimated vs. actual time. Break big tasks into subtasks. Add contributors — not just the owner.

Switch between List (grouped by status), Board (Kanban with drag-and-drop), and Calendar (due date grid). Available on My Tasks and inside every track.

My Tasks

Every team member sees tasks they own and tasks they're contributing to across all clients. Filter by client and track. Summary cards keep blocked items front and centre.

Give public recognition when a teammate nails something. Tied to a specific task, visible to the whole team. Small gestures that make a real difference to culture.

Artefacts

Some tasks are deliverables — a doc, a design, a report. Mark them as an artefact and link the URL. Everyone always knows where the output lives.

Admin adds clients and tracks

Go to Admin → create a client, then add tracks under it (e.g. SEO, Social, Paid Ads). Each track becomes a self-contained work stream with its own task board.

Admin creates a pod and assigns members

A pod is the team for that client. Create it, add members (with leader or member roles), then assign which tracks the pod is responsible for.

Team signs in via magic link

No passwords. Enter your work email and we send a one-click sign-in link. You land on My Tasks and see everything relevant to you immediately.

Add tasks and assign owners

Open a track and add tasks — set priority, due date, and assign an owner. Tasks can have subtasks, contributors, and a linked artefact URL.

Drag, update, track progress

Use the Kanban board to drag tasks across statuses. The calendar shows what's due when. Blocked tasks always surface at the top. Nothing falls through the cracks.

Super Admin

Full control

Manages the entire workspace — members, clients, tracks, pods, and all settings. Typically the agency owner or ops lead.

Operational access
